Time-blocking templates let you define recurring weekly patterns for focused work, sales windows, admin blocks, and other activity types. Instead of scheduling individual events, you paint broad time zones onto your week that repeat automatically. Monday through Friday, 8 to 11 is Deep Work. Tuesday and Thursday afternoons are for Sales calls. Friday morning is reserved for Admin. These are not calendar events in the traditional sense -- they are visual layers that guide your daily planning without cluttering your schedule.
Each template defines a label, a color, and the time range it covers. You can assign templates to specific days or apply them across the entire week. The system renders them as semi-transparent background blocks with dashed borders, clearly distinguishing them from actual calendar events that sit on top. This separation means you always see the structure of your intended week underneath the reality of what actually got scheduled.
Templates are personal planning tools. They are not synced to Outlook or shared with your team. They exist purely as a visual scaffold to help you protect your most productive hours and batch similar activities together. When you open your calendar on Monday morning, you immediately see where your deep work windows are -- and you can guard them.
Connect your Microsoft 365 account via OAuth2 and Dynaflow syncs your Outlook calendar bidirectionally with your operations calendar. Events created in Outlook appear in Dynaflow within seconds, and internal events you create in Dynaflow push back to Outlook. No copy-pasting meeting links, no double-booking between your corporate calendar and your operations schedule. One connection, always in sync.
Color coding makes the source immediately visible. Events originating from Outlook display with a purple left border, while internal Dynaflow events use blue. When a conflict arises -- say an Outlook meeting overlaps with a planned warehouse walkthrough -- the calendar highlights the overlap with a subtle red indicator so you can resolve it before it becomes a problem. The sync works with shared Outlook calendars too, so team-level corporate schedules are visible alongside your personal operations calendar.
The integration handles recurring events, all-day events, and meeting updates gracefully. If someone reschedules an Outlook meeting, the change propagates to Dynaflow automatically. If you move an internal event in Dynaflow, it updates in Outlook. Deletions sync both ways. The result is that you never need to check two calendars again -- everything lives in one unified view with clear visual attribution of where each event originated.
When you need to schedule a meeting with three colleagues across different shifts and locations, checking each person's calendar individually is a waste of time. Dynaflow's team availability grid shows you everyone's schedule side by side in a single view. Pick a date, select the team members you want to meet with, and the grid instantly highlights the time slots where everyone is free. Green means available, red means busy, gray means out of office. Common free slots glow with an accent border so you can spot them in under a second.
Once you find the right slot, click "Book Slot" and create the meeting directly from the availability view. The system pre-fills the attendees, suggests a duration based on the available window, and lets you add an agenda and location. The meeting appears on everyone's calendar immediately -- both in Dynaflow and in their synced Outlook calendars if they have the Microsoft 365 integration enabled.
For external scheduling, Dynaflow integrates with Calendly via webhook. When a client or candidate books a slot through your Calendly link, the event automatically appears in your Dynaflow calendar with the external contact's details attached.
