Each task type gets its own autonomy level, and you can add conditions that refine the behavior further. A refund under 20 euros? Autonomous. A refund over 50 euros? Suggest only. The settings panel shows every task type your operation handles, with its current autonomy level, the number of times it was triggered this week, and the conditions attached. The middle ground between full automation and manual approval is where most operations live. FlowAI handles the task — corrects the address, initiates the replacement delivery, prepares the refund — and immediately reports the result to the responsible human. No waiting for approval before acting, but full transparency after the fact.

Every autonomous action appears in a real-time activity feed with a timestamp, a description of what was done, and the context that triggered it. Each entry includes an Undo button that reverses the action within a configurable window — typically 15 minutes for address changes and 60 minutes for shipment-related actions. The View button opens the full case with all details, so you can verify the AI's reasoning without searching.

This model works because most routine actions are correct. FlowAI draws on the memory of thousands of previous interactions to make the right call. But when it gets something wrong — or when the situation changes after the action — the human can intervene immediately. The system learns from every undo and every correction, gradually improving its accuracy for that specific task type and client configuration.

Autonomy without boundaries is reckless. FlowAI lets you define precise guardrails for every action type: maximum refund amounts, allowed action categories, mandatory escalation triggers, and time-based constraints. The AI operates freely within these rules and stops the moment a boundary is reached — escalating to a human with full context.

Rules are written in a visual editor that reads like natural language. "If refund amount exceeds 50 euros, require approval." "If the customer message contains the word lawyer, escalate immediately." "If more than 3 refunds were issued to the same customer in 30 days, flag for review." Each rule shows its status, how many times it triggered, and when it last fired — giving you confidence that your guardrails are working.

You can also set global limits: a maximum number of autonomous actions per hour, a daily spending cap for refunds, and a mandatory human review ratio (e.g., FlowAI must route at least 10% of all cases to a human for quality assurance). These meta-rules ensure that automation scales safely, even as you give the AI more responsibility over time.
